We studied the industry and looked into the typical workflow and outputs that creative teams generated. We learned that these could include graphic design, video production, photography, copywriting, and many more. They can also include TV and media, fine arts, performing arts, and many others. While they’re extremely varied, a few attributes came to be observed, such as the importance of feedback and collaboration on related materials, the relevance of references, and the presence of many stakeholders. A balance of flexibility and structure was also important to accommodate the creative process without compromising efficiency and profitability.

Based on our first-hand experience and recommendations from the creatives in our network, we shortlisted ten applications. We then looked into how they held up against the key features we identified once there was clarity on the factors needed for project managers to be effective in this industry. This was how we zeroed in on the five in this list.

Manage Stakeholders and Feedback

One of the key responsibilities of a project manager for creative projects is to effectively manage stakeholders and feedback throughout the project lifecycle. It is essential for the project manager to identify and engage with all relevant stakeholders from the beginning of the project to ensure that their needs and expectations are met.

Managing stakeholders involves regular communication and collaboration. The project manager must establish clear lines of communication, provide regular updates, and solicit feedback from stakeholders at various stages of the project.

Feedback is also an integral part of any creative project. It allows for continuous improvement and ensures that the final deliverables are up to standard. The project manager must create a culture that encourages open and constructive feedback from all relevant parties. This can be achieved through regular meetings or other feedback mechanisms.

Manage Resources and Budgets

In creative projects, resources include not only financial capital but also human capital, time, and materials. The project manager must carefully allocate and track these resources to ensure that the project stays within budget and is completed on time.

Managing resource budgets involves several tasks. Firstly, the project manager must identify the required resources for the project and estimate their costs. This includes determining the number of team members needed, the equipment and materials required, and any external services or contractors that may be necessary. Once the resources have been identified, the project manager must develop a budget that allocates funds and resources accordingly.

Monitoring and controlling resource budgets is another vital aspect of a project manager’s role. The project manager must closely track costs and expenses, ensuring that they align with the allocated budget. If any deviations or overspending occur, the project manager must take appropriate action, such as renegotiating contracts, identifying cost-saving measures, or reallocating resources.

Track Deadlines

As a project manager, it is essential to keep a close eye on the timeline and make sure that all tasks and deliverables are completed within the specified time frame. This involves setting clear deadlines for each stage of the project and closely monitoring progress.

By tracking deadlines, the project manager can identify any potential delays or bottlenecks early on and take appropriate action to mitigate them, which may involve reallocating resources or adjusting timelines.

Effective deadline tracking is crucial not only in ensuring the project is completed on time and within budget, but also in maintaining client satisfaction.

Supervise Creative Workflow

Creative projects, such as design, advertising, or marketing campaigns, require a structured and organized approach to ensure the successful execution of ideas and concepts. The project manager plays a vital role in overseeing the entire creative process, from initial brainstorming sessions to final delivery.

Supervising the creative workflow involves having a clear understanding of the project’s objectives and deliverables to effectively guide the creative team. PMs need to establish a well-defined workflow that outlines the necessary steps and processes involved in bringing the project to fruition.

Maintain Morale and Creative Environment

In any creative project, it is essential to have a team that is motivated, inspired, and engaged in their work. A project manager plays a crucial role in ensuring that team members remain enthusiastic and positive throughout the project. This involves fostering a supportive and collaborative atmosphere where team members feel comfortable expressing their ideas and opinions.

By creating an environment that encourages creativity, the project manager helps unlock the full potential of the team and enhance the quality of the project’s outcomes.

Administrative Tasks

The project manager takes care of administrative tasks such as scheduling meetings, managing budgets, and coordinating with clients to allow the creative team to focus solely on their creative tasks without distractions.

Administrative tasks can be time-consuming and require meticulous attention to detail. From organizing project timelines to managing resources and tracking project progress, these tasks are essential for the smooth running of any creative project.

Task Management

Creative projects involve multiple tasks that need to be completed within specified timelines, and without proper task management, it becomes challenging to keep track of progress and ensure that the project stays on schedule.

One of the key benefits of task management in project management tools is the ability to break down larger projects into smaller, more manageable tasks. This allows teams to clearly define what needs to be done and assign specific tasks to team members. By dividing the project into smaller tasks, it becomes easier to track progress, identify speed bumps, and ensure that each task is completed on time.

Task management tools also enable teams to prioritize tasks based on their importance and urgency. These tools come with task dependency features that define the order in which tasks need to be completed, ensuring that one cannot start until its predecessor is finished. They also have reminders that keep team members informed about upcoming deadlines and important milestones.

Additionally, these tools provide a centralized platform where team members can collaborate, communicate, and share updates on their tasks. This fosters transparency and accountability within the team, as everyone is aware of what tasks are assigned to whom and the progress being made.

Timeline Management

A timeline management feature allows project managers to create and track project schedules. It provides a visual representation of the project’s timeline, allowing team members to see the overall progress and identify any potential delays.

With timeline management, project managers can allocate resources effectively and adjust deadlines if necessary.

Budget Management

Creative projects involve various elements such as design, content creation, and marketing, which require careful financial planning and tracking. With budget management capabilities, project managers can efficiently allocate resources and monitor expenses throughout the project lifecycle.

This feature offers a clear overview of the project’s financial health so project managers can make informed decisions regarding resource allocation. It also helps identify potential cost overruns or budget constraints early on.

Furthermore, budget management tools provide transparency and accountability within the creative project team. By enabling team members to access and track budget information, everyone involved in the project can stay informed about the financial status and align their actions accordingly.

Workflow Management

A good workflow management feature in project management tools allows project managers to assign tasks to team members, set deadlines, and track the progress of each task. It provides visibility into the entire project timeline and helps ensure that tasks are completed in a timely manner. This is particularly important for creative projects, where issues in one area can have a ripple effect on the entire project.

Additionally, workflow management helps streamline communication and collaboration among team members. By knowing who is responsible for each task and when it needs to be completed, team members can coordinate their efforts more effectively. This reduces the chances of miscommunication or duplication of work.

File Management for Creative Assets

In creative projects, there is an abundance of files and assets that need to be organized and accessed easily. These include images, videos, audio files, design files, and more. Without proper file management, it can become incredibly challenging to locate the right assets when they are needed, leading to delays and inefficiencies in the project workflow.

A robust file management system within a project management tool allows creative teams to organize their assets in a logical and intuitive manner. It should provide the ability to create folders and subfolders, tag files with relevant keywords or metadata, and search and filter assets. Additionally, version control is crucial to ensure that the team is always working with the latest iteration of a file, avoiding confusion and preventing mistakes.

A good file management feature should also support file sharing and collaboration. It should allow team members to upload, download, and share files with ease, enabling seamless collaboration across different departments or even external stakeholders.

Annotation and Feedback

In creative projects, effective communication and collaboration are paramount, which is why features for annotation and feedback are essential.

With annotation capabilities, team members can highlight specific areas of concern or areas that require improvement. Feedback features also allow for real-time collaboration, as team members can leave comments and suggestions that can be addressed immediately, reducing the need for back-and-forth emails or meetings. These features not only enhance the overall quality of creative projects, but they also contribute to a more collaborative and productive work environment.

Commenting and Access

Robust commenting and access features help maintain smooth communication among team members and external stakeholders. The option to leave comments on specific tasks or deliverables allows for a free-flow of feedback and suggestions between team members. This fosters a collaborative environment where ideas can be shared and refined.

Additionally, providing access to guests, both internal and external stakeholders, allows clients, vendors, or other relevant parties to have visibility into the project’s progress, share their input, and stay informed about important updates or changes.

Approvals Workflow

In creative projects, multiple stakeholders are involved, including clients, designers, writers, and marketers. Each of these stakeholders has their own unique perspective and requirements when it comes to approving project deliverables. Without a streamlined approvals workflow, it can be challenging to keep track of feedback, revisions, and final approvals.

An approvals workflow allows project managers to set up a systematic process for reviewing and approving project deliverables. This feature typically includes the ability to assign specific individuals or groups as approvers for each stage of the project. By defining the order and hierarchy of approvals, project managers can ensure that all stakeholders have a chance to review and provide feedback on project deliverables.

Creative project management is the planning, execution, monitoring, and reporting of initiatives for the creative industry. This encapsulates several fields such as design, film, literature, photography, and more.
