Wrike Automation – Requests Into Projects, Dynamic Request Forms

Wrike project management software is making day-to-day work easier, transparent and more efficient. With the help of sound engineering and design, usability and customer care, customers are completing projects faster. Recently, the PM software released an enhancement that combines two powerful features: project templates and request forms. With this latest feature, teams can turn user requests automatically into projects based on standardized templates. Furthermore, the company also announced new dynamic request forms that are more flexible to cater to different types of users. Request forms are available to subscribers with Business and Enterprise accounts.

Turn Requests Into Projects Instantly Using Templates

Wrike Request Forms are powerful tools for capturing different input fields. Users are able to manage inbound requests through request forms and turn them to tasks or projects. Now, the latest enhancement also enables users to turn requests instantly into perfectly organized and optimized projects based on standardized templates. Some of the benefits of using this process are:

  • Standardized project captures and merges all customer requirements
  • Tasks are defined and organized to achieve the preferred deadline automatically
  • Customers get immediate confirmation of their request, and
  • Teams can start work as soon as possible.

Step-by-step Guide

Using Request Forms and Project Templates together to automate a business process involves only a few steps.
Step 1 – Create the project template

The first step is to create and set up the project template. Users should break down and assign all tasks and subtasks. They should optimize the steps in the work process, setting the order, duration and spacing between tasks. They should carefully include all generic instructions and attachments needed for any request. Then, they should store the template in a separate folder from other projects.

Step 2 – Build the request form

The next major step is to create the request form by going to Account Management, then selecting the Request Form tab. Users should capture all the required fields that the project will need. The form can be accessible inside Wrike or through an external PMCOM by checking the Enable public link box. When customers submit the form, a project is automatically activated based on the current template.

Step 3 – Monitor project progress through a shared report

Instead of manually delegating the request to a team who needs to create a project again and again, Wrike users can now focus on getting an overview of the project’s status through a shared interactive report. Users can visibly track it with green, yellow and red status indicators.

Dynamic Request Forms

Following the release of the said enhancement, Wrike also announced the availability of dynamic request forms. This latest feature allows users to capture an initial customer response with a dropdown field. Based on this choice, users can display additional appropriate pages and questions for the targeted requirement. For instance, customers request marketing campaigns from the team. However, some need email campaigns, while others need social campaigns. Based on the choice from the initial dropdown field, additional pages will be displayed to capture their particular campaign requirements. This branching process results in fewer forms to manage. Also, customers need to answer only the questions relevant to their needs.

The latest features help save time for both customers and teams. With the combination of these features, teams now can use targeted forms to instantly activate tasks, projects, or projects from templates.
