Welcome, today we’ll be looking at Insightly, one of the leading CRMs for small businesses. This video is brought to you by TechnologyAdvice. Today we’re focusing on Insightly and its project and customer relationship management system that is designed to automate as much as possible so users can focus on what tasks and deliverables, not be buried in contact management.

This is the Inishglty home screen. With a very clean and almost gmail-like interface, users are able to easily view the most recent updates to the application. For better or worse there is no “news feed” users simply view the information that is most important to them such as tasks, contacts, and opportunities. It does a good job at bringing that information to the forefront. First up, Insightly has placed tasks as the first tab users come to. It allows for users to view various different assignments that need to be completed.

Tasks can be sorted based on date, importance, and category. Within a task users can set priorities, progress, and assign to different people. Contacts can also be linked to tasks. Here you can see how all of a contact’s information is easily and efficiently stored in one place. Everything from emails, notes, files, and tasks are all accessible. Social profiles also automatically populate useful data such as a profile picture and the contact’s tweets.

There are also several actions users have access to such as adding new opportunities or projects to a contact right from the page. Next up, opportunities help companies simplify who and how they contact leads. By filtering opportunities by status, users can drill down to find out exactly what their next point of contact with a prospect should look like. Multiple tags also allow a user to further pinpoint opportunities and make contact decisions. Within specific opportunities users also have the ability to link email addresses and track touchpoints users view as important.

The projects tab helps users Create Milestones, Pipelines and Tasks for Projects. From there you can specify Roles for Contacts and View Completed Tasks and Events by Project. There’s ainlso great integration with Dropbox, Box, Microsoft OneDrive, and Google Drive so users can upload their files from some of the most popular places on the web. Speaking of Google integration, Insightly also has great integration with email. Users can quickly and easily track email/correspondence they have with prospects via the built-in email tab.

By CCing the unique identifier contained within contacts, organizations, and opportunities, users can Track All Email Correspondences. Lastly, users can Get a Macro or Micro View of Your Business by viewing different reports. Everything from opportunity breakdown to funnel analysis lets you look at your business any way you want. Made for small businesses, Insightly has a free, standard, and enterprise version. One of Insightly’s biggest limitations is it can be a tad slow when processing large amounts of data.

It also lacks a few higher-end features that more expensive software has such as a back-up system and some customization/personalization features.
