VIDEO: How to – Boards pt. 1 | monday.com

So, let’s say you just got Monday.com. Great! You’ve probably opened it up, maybe you started your first board, and things are going great. But, there’s a LOT of stuff you can do from your board, and you don’t wanna miss out on all the cool bells and whistles. OR Let’s say you’re interested in Monday.com and you wanna SEE all those bells and whistles before you pick it up. Either way, this video is for you. Also, bells and whistles are probably for you too.

So let’s take a look at them. But before that, hi! I’m Kyle. Hope you’ve been good and great, great and good. And today, I’ll be showing you how to get the most out of your Monday.com Boards. Before we jump into this, you might see a lot of the footage has this lovely lady’s face on it. As you can see, that is not me, and I am not a shape shifting magician, I just got some help from my friend KJ who knows a whole heck of a lot more about Monday.com than me.

Cool? Cool. Let’s proceed. So for this video we’re gonna focus on a bunch of stuff that you can find alllll right here in the top right corner of the screen. the 3 dots in the top right corner are your settings and there’s a lot of stuff you can do here to customize your experience. You can change the board permissions, change your board to a shareable link so you can give access to other folks, and other similar basic settings. One cool thing you’ll want to know is there’s a setting here labeled “Create items via email.” So, every board in Monday.com automatically has its own unique e-mail address, and if something is sent to that e-mail address, Monday.com will automatically take whatever is sent there and turn it into an item on your board.

That’s a cool feature and especially useful when you’re sifting through a bunch of e-mails and don’t want to miss an action item while doing so, you can just forward it over to that unique e-mail address. Going back to that settings menu, if you go down a bit further to ‘more actions’ you see there’s an option to save this board as a template, so you can make more boards in the future using the same structure you have built out for the current board you’re on.

You can also just go down to duplicate board if you want to take EVERYTHING from this board over as a carbon copy, not just the structure, but even the contents within like: items, subitems, and the comments on those items. Both are useful options! Just depends on what you’re trying to achieve. The settings menu is also where you’d be able to archive the board, which means it becomes inactive and hidden, but you can always unarchive it. Or, you can just straight up delete the board.

You can also look through the recycle bin here for any items you’ve thrown away on this board. To the left of the settings menu, you’ll see an invite button, and if you click on that you can see everyone that is currently involved with the current board as well as invite other people to have access to it. To the left of the invite button you can see “last seen” with one or more faces, which shows you who on your team has recently logged in to use this board.

If you click on that, you can dig in deeper and see specifically what has been viewed recently, a full activity log, and any recent updates on the board. If you wanna bypass the “last seen” screen and go straight to the board activity, you can also just click the little squiggly arrow next to “last seen” and it’ll take you straight there. Just below the settings menu you’ll see the automate button where you can go and create automations for your board, basically if/then statements like IF this item moves to the ‘published’ status THEN send a notification to person x, y and z.

We’ll get into that more in a future video, but that’s the gist of it. And to the left of the automate button is the integrations button, which is very similar to the automations list but deals with all of the other software that Monday.com is integrated with. For example, when an item is marked as ‘needs review’ set a google calendar item for the following Wednesday, or something along those lines. Since Monday.com can integrate with linkedin, zoom, jira, salesforce, dropbox, and many more items, there’s a lot you can do with this section, but we’ll dive more into that in a future video.
